SYS.001 / Workflow Audit & Roadmap

Two weeks.
A real plan.
Zero hand-waving.

We map every repeatable task in your business, score each by ROI vs. effort, and hand you a ranked backlog of AI workflows worth building. You walk away with a plan you could give to any engineer and have it shipped — whether that's us or not.

01 // Why This Matters

Most AI initiatives fail
before they ever ship.

Not because the technology doesn't work. Because nobody mapped the work first.

The companies that win with AI start by understanding their own processes in obsessive detail. The ones that lose buy ChatGPT seats and hope.

The audit is the difference. Two weeks of map-making before any building. By the end of it, you know exactly what to ship — and what isn't worth touching.

02 // Deliverables

What you walk away with

01

Process Inventory

We map every repeatable task across your sales, ops, support, finance, and marketing functions. Most businesses have 50–150 of them. You'll see them all on one page for the first time.

02

ROI Scoring

Each task gets scored on volume, time-cost-per-execution, error rate, and automation feasibility. The score tells you what's worth building first — and what's not worth building at all.

03

Prioritized Backlog

A ranked list of automations worth shipping, with rough effort estimates, projected hours saved, and prerequisites. It reads like a product roadmap, not a 60-page consulting deck.

04

Team Interviews

We talk to the humans actually doing the work — not just leadership. The best automations come from people whose hands are in the system every day. They tell us where the pain is.

05

Cost Projections

For each top-priority automation, you get a realistic build estimate, expected model costs, and projected ROI window. No vague "it depends" — concrete numbers you can take to your CFO.

06

Tooling Recommendation

Whether each workflow should run on n8n, Make, custom code, or off-the-shelf — and why. We're tool-agnostic; we pick what fits, not what we sell.

03 // Ideal Client

The audit pays off when…

You're drowning in repeatable work.

Your team is doing the same things every week — quotes, follow-ups, reports, intake — and growth is making it worse instead of better.

You've tried tools, but nothing stuck.

You bought ChatGPT seats, Zapier, three "AI" tools your CRM upsold you. None of it became a system. You need someone to design the system.

You don't know where to start.

You know AI should help your business. You don't know which 3 things to build first, what they'll cost, or whether they'll actually work.

You want a plan, not a sales pitch.

You've been burned by consultants who delivered slide decks and called it a strategy. You want a plan you could hand to any engineer and have it shipped.

How the two weeks work

01

Day 1 — Kickoff

Two-hour kickoff with leadership. We align on goals, get access to your systems (read-only), and identify the 4–6 team members we need to interview.

02

Days 2–7 — Discovery

We interview your operators, observe the work, and pull data from your tools. We're looking for: high-volume tasks, decision-tree work, copy-paste-heavy flows, and anything that already feels like a "system in someone's head."

03

Days 8–12 — Scoring & Drafting

We score every candidate workflow. We draft the top 5 in detail — including data flows, integration points, and projected ROI. Lower-priority ones get listed but not detailed (yet).

04

Day 13 — Readout

90-minute readout with your leadership team. You walk away with the full backlog, the top 5 detailed automations, projected hours saved, projected costs, and a clear "build first" recommendation.

05 // FAQ

Audit questions

A written report (10–20 pages) plus a live readout meeting. The report includes the process inventory, ROI-scored backlog, top 5 detailed automation specs, and tooling/cost recommendations. You can hand it to any competent engineer and have them ship from it.

No. The audit is a standalone deliverable. If you take the roadmap and build it yourself or with another team, that's fine. Most clients ask us to build the top-priority workflows because we already know the context — but it's your call.

Most agency discoveries are scoping exercises designed to inflate the project. Ours is a standalone product with a fixed price and a fixed deliverable. We're selling clarity, not a wedge into a bigger contract.

Read-only access to whatever systems hold the work — your CRM, ticketing system, project tool, ERP, email. We sign NDAs first. We don't need write access during the audit; we're observers.

We've done this for teams as small as 8 people and as large as 200. The sweet spot is $2M–$50M revenue with 10+ team members and at least one repeatable, high-volume operations workflow.

Fixed-price, scoped after a 30-minute intro call. Drop us a line and we'll give you a number — usually within 48 hours.
